Milestones
A milestone is a dated target: a release, a launch, a client handoff, the end of a phase. Tasks from any project can count toward it, so you can see what's left and whether it will land on time.
Projects and milestones work together without either containing the other: a project says what the work is, a milestone says when it's due. A project can have work in several milestones, and a milestone can hold tasks from several projects. A task belongs to at most one of each.
#Making a milestone
Press c k, or hover Milestones in the sidebar and press +. Give it
a name and, if you like, a target date. Every milestone gets a key such as
R-0030, which is what its links use.
#Adding tasks to it
- On a task, press u k (or click its Milestone field) and pick one. Upcoming milestones come first, in the order they're due; completed ones are listed below them.
- Create a task from a milestone's page, or from a view filtered to one milestone, and it joins that milestone.
- Group a board by milestone (
group:milestone) and drag cards between columns.
A sub-task always counts toward its parent's milestone: it takes the parent's when it's made, and follows it when the parent's changes.
#The milestone page
At the top: its state (Planned, In progress, Completed or Canceled), and how it's doing — At risk when it's due within three days with tasks still open, Overdue once its target date has passed with tasks open.
Below that:
- Progress — how many of its tasks are done. Sub-tasks count with their parent, so splitting a task into five doesn't make it look further behind.
- Time left, open tasks (and how many are under way), and overdue tasks.
- Scope and progress — a chart of what's been in it and what's been done each day, with a dashed line from today to everything done by its target. Above it: how many tasks were added after it started, how many it needs finished a day, and how many have been finished a day lately.
- Its target and start dates, where it lives, the projects its tasks come from, and the milestone after it.
- Tasks — its tasks in the full task view, with every layout, filter and grouping. Whatever you set up here is saved on the milestone for everyone.
- Docs — docs attached to it (a plan, notes, its summary) or linking to it. Attach one from here, or from the doc's Attached to.
- Activity — changes to the milestone, and tasks joining or leaving it.
It's At risk a few days before its target with tasks still open, or once it's been in progress a few days and its recent pace (tasks finished a day over the last week) is short of what it needs. It's Overdue once its target has passed with tasks open.
Moving it to In progress records when it started; marking it Completed records when it was reached. Canceled tasks don't count toward it either way.
#Completing a milestone
Pick Completed from its state (or Complete milestone… from its right-click menu). If everything in it is finished, that's it. If some tasks aren't, you're asked where they go:
- Move them to another open milestone in the same place, the next one due to begin with, or
- Take them out of milestones, to sort out later.
Finished tasks stay with it, so it keeps a record of what it delivered. Write a summary (at the top of its page, once something's done) starts a doc attached to it: what was done, by project, and what's still open — ready for your notes. After that the button opens it. Each task's move shows in Activity, and sub-tasks go with their parent.
#The Milestones page
Milestones in the sidebar (g k) lists them all: in progress, then planned (in the order they're due), then completed and canceled. Upcoming and Completed narrow the list. Right-click one to change its state, move it to a Space or move it to the Trash. The sidebar counts the ones still to come.
#Finding a milestone's tasks
In any query bar, milestone:R-0030 (or milestone:"v1.0.30" by name) shows
a milestone's tasks, milestone:unset the tasks in none, and
-milestone:R-0030 everything else. group:milestone and sort:milestone
order by when they're due.
#Milestones and Spaces
A milestone lives in the workspace or in one of your Spaces, and holds only tasks from the same place. A task with no project takes its milestone's place. Moving a milestone takes its tasks along; tasks that belong to a project move with their project instead, so the app asks you to take them out first.
#Deleting a milestone
Move to Trash (or d d on its page) keeps its tasks; they just leave the milestone. Restoring it from the Trash puts it back on them.
