Spaces & sharing

Spaces are how you share part of a workspace — with a few teammates, or with people from outside the team such as a client, a partner or a contractor.

#Where things live

Everything in a workspace lives in one of two places:

  • The workspace — every admin and member sees it. Guests never do.
  • A Space — the people in that Space see it.

A Space can hold projects (with their tasks), docs, chat channels, views and dashboards. When you make something new, the New … dialog asks where it goes, starting with the Space you're in.

#Open and private Spaces

Who sees what's inside
OpenEveryone in the workspace, plus the guests added to it.
PrivateOnly the people added to it. Admins manage a private Space but don't see inside unless they're added.

#Making a Space

Any admin or member can start one: press + next to Spaces in the sidebar, then give it a name, an icon, and choose Open or Private. You're in it straight away.

A Space's page shows what's in it (all together, or projects, docs and channels one kind at a time), its People, and its Settings. Its admins and the person who started it can rename it, switch it between Open and Private, and add or remove people. Anyone else in it can leave. Admins can delete a Space once it's empty.

Before you invite anyone, Preview as guest on the Space's page shows exactly what a guest would see there — and counts what's held back.

#Guests

Guests are free. They see only the Spaces they're added to, and there they can read, comment and chat — but not create or edit work. To keep something from them inside a Space, mark a task Internal or write an Internal note (see Tasks and Comments & mentions).

#Sharing something

Every project, doc, view, dashboard, channel and task has an access chip next to its name — for example "🔒 Acme · Only me". Its menu shows:

  • Share… — puts the item in a Space (one you have, or a new one named after it) and adds the people you pick from the workspace. Admins can also invite someone new by email, as a guest (free) or a member.
  • Where — the workspace or one of your Spaces. Moving something other people can see asks first, and says who will start or stop seeing it. A project takes its tasks and docs with it.
  • Who (docs, views and dashboards) — Only me or Everyone in its place.
  • Who can edit (shared views and dashboards, for admins) — Everyone or Admins only.
  • Owner — who it belongs to, with Change… to hand it to someone else.
  • Who sees it — the people who can see it right now.

You can also move things from a list: right-click a row and choose Move to space.

#Private items and owners

Docs, views and dashboards belong to someone — at first, whoever made them. Only me means only its owner sees it. Its owner shares it with everyone in its place. Its owner, the workspace's owner or an admin can make it private again and choose who keeps it: one person, or a few people (it moves into a private Space with them). The app always says who will stop seeing it.

#Leaving a Space

Leaving a Space means losing everything in it, including your own things. If you have private docs, views or dashboards there, you're offered the chance to move them to the workspace first.
