Statuses, priorities, types & labels

Four lists describe every task: Status, Priority, Type and Labels. Each workspace has its own, and its admins shape them in Settings → Workspace Settings. Everyone else picks from them.

#Statuses

A status says where a task is. Every status belongs to one of five fixed categories — Backlog, Unstarted, Started, Completed and Canceled — and the category is what drives progress and filters such as is:open. Within each category the statuses are yours: names, colors and order. Drag a status into another category to move it there.

One status is marked Default: it's what new tasks start in. Press c s to add a status (admins).

#Priorities

An ordered list — add or remove as many levels as you want.

#Types

What kind of work a task is (Bug, Feature, …): a name and a color each, in whatever order you like. You can make one the default for new tasks under Settings → Workspace Settings → Tasks.

#Labels

Labels are tags you put on tasks — as many as you like on each. They're how a task relates to more than one area of work. Labels are listed alphabetically, grouped into folders if you've made any, and each has a color and an optional "when to use it" description. Owners and admins can make, rename, move and delete folders in the Labels hub or in Settings → Workspace Settings → Labels, and drag a label onto a folder to move it there.

  • Labels in the sidebar (g l) lists them all, with what their tasks are made of (open, in progress, done, overdue) and when one was last worked on. In use and Unused help you tidy up. Admins can make folders, drag labels into them, and fold several labels into one with Merge into….
  • Click a label to open its page: its description, its tasks in a full task view (a task made there gets the label), and its activity.
  • Press c l to make a new label (admins).

#Doc statuses

Docs have a list of their own — where a doc is in its life. A workspace starts with Draft, In review, Final and Archived; admins can change them under Doc Statuses in Workspace Settings. One is the default for new docs.

#Using them

These lists power the property chips on every task, the + Filter menu, grouping and sorting, the query bar, and dashboard charts. On a focused or selected task, u s sets the status, u p the priority, u t the type and u l the labels.

#Deleting a status, priority, type or label

Only admins can delete them, and they're deleted straight away rather than going to the Trash. If tasks still use the one you're deleting, you pick what those tasks get instead — another value, or for a label, nothing. A status or type that's the default for new tasks hands that role to its replacement.
