Workspaces & people

A workspace is where everything lives: its projects, tasks, docs, views, dashboards and chat, and its own statuses, priorities, task types and labels. Nothing is shared between workspaces. You can belong to several and switch between them from the workspace switcher at the top of the sidebar.

#Roles

Everyone in a workspace has one of three roles:

MemberCreate and edit tasks, projects, views and docs, and take part in chat.
GuestSee only the Spaces they're added to, and comment and chat there. Guests are free.

One person is the workspace's owner: they pay for it, and they're the only one who can hand it on or delete it. The owner is always an admin.

#Inviting people

If you're an admin:

  1. Open Settings → Workspace Members (or press c m).
  2. Press + on Team (admins and members) or Guests.
  3. Type their email, pick a role, and send.

They get an email. Once they sign in with that address they can accept or decline — when they sign up, or later from Settings → Account → Workspaces. Until then they're listed as invited.

Only admins bring someone new into a workspace. Members can add people who are already in it to their Spaces when they share something: see Spaces & sharing.

Your plan sets how many members and guests you can have — inviting past the limit offers to upgrade. See Plans & billing.

#Changing roles and removing people

In Settings → Workspace Members, an admin can change anyone's role (moving someone between the team and guests) or take them out with Remove from workspace.

When the person you remove owns views, dashboards or docs, you choose who takes those over — you, someone else, or nobody yet. Their tasks, comments and other work stay in the workspace.

#Member pages and the Members list

Members in the sidebar (g m) lists everyone: their role, when they joined, and how many open tasks they have. Click someone to open their page — their title, location and local time, what they're working on, what they've just finished, their docs and their recent activity. Edit your own from Settings → Account → Your member page.

Admins also see Former members there: people who left or were removed. If a former member still owns views, dashboards or docs, their page lets an admin hand all of it to someone else.

#Leaving a workspace

Open Settings → Account → Workspaces and choose Leave next to the workspace. You lose access until someone invites you again; your work stays in the workspace. You can't leave a workspace you own — hand it on first.

#Handing on or deleting a workspace

These are for the owner, in Settings → Workspace Settings → Owner:

  • Hand over… offers the workspace to another member or admin. They're asked to accept, in their Inbox and by email. Once they do, they own it and you stay on as an admin. You can Take back the offer until they answer.
  • Delete workspace closes it for everyone at once. You confirm by typing its name. For 30 days you can restore it from Settings → Account → Workspaces; after that it's erased for good.
