Tasks

A task is the unit of work. Every task has a key such as SP-0042 — your workspace's prefix and a number — which is what its links and its tab use, and which never changes.

#Making tasks

  • New task in the sidebar, or press c t. Type a title, set properties with the chips, and press Enter (or ⌘/CtrlEnter from anywhere in the composer). Alt/Option+Enter creates it and opens it to the side. Tick Create more to keep going with the same properties.
  • The + at the end of a List group or a Board column adds a task right there, with that group's value — add in the "Blocked" column and you get a Blocked task.
  • Paste several lines into a task view (not into a text box) and you get one task per line, with an Undo.
  • In a doc, turn checklist items into tasks — see Docs.
  • In chat, a message's menu has Create task from message.

New tasks start in the workspace's default status and type unless something says otherwise. Admins set those defaults in Settings → Workspace Settings.

#What a task holds

Open a task to see and edit:

  • Title and description — the description is rich text: / adds a block, @ links a person, task, doc or anything else in the workspace.
  • Status, Priority, Type and Labels — see Statuses, priorities, types & labels.
  • Assignee — one person.
  • Project — at most one.
  • Start and Due dates.
  • Docs attached to the task, and docs, tasks, comments and messages that link to it.
  • Comments — see Comments & mentions.
  • When it was created, updated, started and completed.

Everything you change shows straight away, everywhere the task appears.

#Relationships

The Relationships section of a task holds:

  • Parent — the task this one sits under. Change it with Change parent (or u r).
  • Sub-tasks — tasks under this one. Add one with Add sub-task. A task with sub-tasks shows a progress bar rolled up from them.
  • Blocked by and Blocks — tasks that have to finish before this one can, or that wait on it. When everything blocking a task is done, its assignee is told it's unblocked.
  • Related — a loose "these are connected" link.

A task has only one parent. Use relations and labels for everything else that connects it to other work.

#Hiding a task from guests

In a Space that has guests, admins and members see a Guests property on each task. Mark a task Internal and guests won't see it, its comments, or its activity.

#Changing many tasks at once

In a task list, select tasks with x (one at a time), v then j/k (a range), or ⌘/CtrlA (all), or Cmd/Ctrl/Shift+click. The u shortcuts then change every selected task at once — u s for status, u p priority, u a assignee, u l labels, u m project, u d due date, u x archive, and more. Press ? for the full list.

#Archiving and deleting

Archive finished work with u x to keep it out of your views without deleting it. Delete with d d or Move to Trash. See Trash & archiving.
