Saved views

A saved view keeps a filtered, grouped, sorted list of tasks — in any layout — under a name, so you can come back to it in one click. "My open bugs", "This week's launch work" and "Waiting on someone" are all saved views.

#The task toolbar

Every task list — the Tasks page (g t), a project's or label's tasks, a saved view — has the same toolbar:

  • Layout switcher — List, Board, Timeline, Calendar or Canvas (z then l, b, t, c or d). See Layouts.
  • Filter — add a filter by status, priority, type, label, assignee, project, dates, parent task and more. Each filter shows as a chip you can change or remove.
  • Display — grouping, ordering (and its direction), how sub-tasks show (Nested, Flat or Hidden), what empty groups do, and which properties show. What's offered depends on the layout.
  • Query — opens the query bar, the same setup as text. See Query language below.

#Saving a view

  • On the Tasks page, set things up, then press Save as view.
  • Or press c v (or + on Views in the sidebar) to start a new one.

Give it a name and an icon, and choose whether to Share with everyone in the workspace (off by default — a new view is yours alone). The view opens in its own tab.

#Changing a saved view

Changes to a saved view show straight away but are held as a draft, so a shared view doesn't change for everyone because someone tried something. Then:

  • Save keeps the changes for everyone. Who can save: the owner of a private view; any member for a shared view, unless an admin has set Who can edit to Admins only.
  • Save a copy… keeps your changes as a new view of your own.
  • Discard goes back to what was saved.

Renaming, sharing and moving a view save at once. Where you've scrolled a timeline or paged a calendar isn't part of the view.

#The Views page

Views in the sidebar (g v) lists every view you can see, with what it shows in words, how many tasks match right now, its layout and who made it. Hover a row for more. Make folders and drag views into them to keep the list tidy; star a view to add it to your sidebar's Favorites.

#Query language

The query bar holds the whole view as text: filters, layout, grouping, sorting and display. Changing the chips updates the text and the other way round. It suggests fields and values as you type, applies the query as soon as it's complete, and flags anything it can't read with a "did you mean…" hint.

A query is a list of field:value clauses separated by spaces. Words without a field match task titles and keys.

#Combining and excluding

  • Several values — separate them with commas: status:Todo,"In Progress" matches either. Different fields must all match.
  • Spaces in a name — put it in quotes: project:"Website redesign".
  • Excluding — put - before the field: -status:Done hides Done tasks, -root:SP-0042 hides that task and everything connected to it.
  • You — me means whoever is looking: assignee:me, mentions:me.
  • Not set — unset matches a task with no value: assignee:unset, due:unset.

Tasks and projects are named by their key (parent:SP-0042, project:SP-P0003); a project's name works too.

#Dates

Dates are written YYYY-MM-DD — while you type, the suggestions turn words like today, tomorrow or in a week into a date.
